General Terms and Conditions
Article I:
Unless specifically stipulated in writing by an authorized person, these general terms and conditions apply to all services provided by Hotel Vredehof and to all agreements concluded or performed. These terms and conditions are displayed in the premises and appear on the back of outgoing documents. They are therefore duly brought to the attention of customers, contractors, and third parties.
Article 2:
The stated rates are subject to change without prior notice. Rates confirmed in the quote are valid for three months. After this period, they may be changed in accordance with economic conditions. In that case, the rates applicable on the day of the service will apply.
Article 3: Liability of the hotelier.
The hotelier is not liable for damage resulting from an event they could not possibly have foreseen (force majeure), despite taking all necessary precautions, due to the circumstances and consequences thereof. Nor are they liable for damage caused by the customer's fault, even partial. Articles 1952 to 1954 quater of the Civil Code apply to the safekeeping of the premises.
Article 4: Responsibility of the customer/contractor.
The customer must comply with the customs and regulations of the hotel where they are staying: the customer can consult these regulations. Any serious or repeated violation of these regulations entitles Hotel Vredehof to immediately terminate the agreement without notice. The customer and the contracting party are jointly and severally liable to Hotel Vredehof for any damage caused to persons, to the building, to the furniture, or to the furnishings of the hotel and to the areas accessible to the public.
Article 5:
The customer undertakes to inform the hotel of any change in the intended use of the rented premises and to invite only persons whose conduct, reputation, or decency cannot in any way cause material or moral harm to the hotel, which reserves the right to intervene if necessary. If this obligation is not met, Hotel Vredehof will be entitled to cancel the event without any compensation whatsoever.
Article 6: Cancellation of a group booking.
A group booking is any reservation of more than 3 rooms. A reservation is only guaranteed upon receipt of the confirmation and payment of the requested deposit. In the event of cancellation by the customer before the 30th day prior to the arrival date, 30% of the service price will be payable as compensation. If a reservation is cancelled between the 30th day and the 15th day prior to the arrival date, 60% of the service price will be payable as compensation. If cancelled between the 15th day and the 8th day prior to the arrival date, 80% of the service price will be payable as compensation, and if cancelled between the 8th day and the arrival date, 100% of the service price will be payable as compensation.
The correct number of participants will be confirmed no later than 24 hours before the scheduled arrival date.
Article 7:
Invoices will only be sent to the customer for amounts exceeding €50, unless specifically requested. Hotel Vredehof, however, reserves the right to demand advance payment of the corresponding invoice(s). Each summary invoice is payable in cash without discount. Late payment interest of 1% per month will automatically be charged, without notice of default, until full payment is made. Furthermore, from the first notice of default, a fixed penalty of 15% of the invoice amount, with a minimum of €150, will automatically be due for late payment. Any late payment of a single invoice entitles Hotel Vredehof to suspend all orders, reservations, services, sales, or deliveries of any kind.
Article 8: Force Majeure
In the event of force majeure, unforeseeable or irresistible events, or events beyond the control of the party involved, the party involved will be released from its obligations without compensation. However, it undertakes to inform the other party by all possible means in order to limit any potential damage.
Article 9:
The hotel reservation agreement is governed by Belgian law. All disputes arising from this agreement will be settled exclusively by the competent court of Ypres.
